How we look after your details.

Summertown Arts is a community arts organisation based in North Oxford. This page is maintained by us to explain, in plain English, what happens to the information you share through this website. If anything here is unclear, please ask.

• Newsletter signups. The email address you enter in the footer form, plus the date you signed up.
• Volunteer signups. The name, contact details, interests and any message you send us through the volunteer form.
• Emails and enquiries. Whatever you choose to include when you write to us.

We use your details only for the purpose you gave them: to send you occasional news about events and workshops, to reply to an enquiry, or to talk with you about volunteering. We do not sell your information, and we do not use it for advertising.

Form submissions are stored in a secured database used to run this website, and access is restricted to the small number of organisers who need it. Page content - events, notes, activities and images - is managed in our content system and contains no personal data from visitors.

We keep newsletter and volunteer details for as long as they are useful for the purpose you gave them, and remove them when they are not. Every newsletter includes an unsubscribe option, and you can ask us to delete your details at any time.

You can ask us at any time for a copy of the information we hold about you, ask us to correct it, or ask us to delete it. To make a request, email hello@summertownarts.co.uk with the subject line "Data request" and include:

• What you would like. A copy of your details (an export), a correction, or deletion.
• The email address you gave us. The one used to sign up to the newsletter, volunteer or contact us, so we can find the right records.
• Anything that helps. For example roughly when you got in touch, or which form you used.

We will acknowledge your request and respond within 30 days. Exports are sent as a plain file to the email address we hold for you. When you ask for deletion we remove your details from our newsletter list and form records, other than anything we are required to keep - and we will tell you if that applies. We may ask a question to confirm it is you before acting on a request. There is no charge.

You can also unsubscribe from the newsletter at any time using the link at the bottom of any email, without needing to contact us.

This site does not set advertising or tracking cookies. Any cookies present are the ones needed for the site itself to work correctly.

We update this page whenever the way we handle information changes. The date above shows when it was last reviewed.
